This policy explains how Excelia Ads Pte. Ltd. ("we") handles personal data of people who apply to work with us through excelia-ads.com and of our partners (affiliates, publishers and advertisers) and their staff who use the partner portal. We are the controller of this data.
What we collect
- Application data: name, work email, company, website, messenger and handle, budget, verticals and your message.
- Account data: login email, password (stored only as a secure hash by our authentication provider), terms acceptance records, and the company, contact and payment details you give us.
- Security and usage data: IP address, browser/user agent and timestamps of sign-ins and form submissions.
- Performance data: clicks, conversions, sub-IDs and payouts for the traffic you send, which we need to track campaigns, report to you and pay you.
Why we use it
- To review applications and contact you (our legitimate interest in running our business, or steps before a contract).
- To provide the partner portal, tracking, reporting and payments (performance of our contract with you).
- To keep accounts and the platform secure and prevent fraud and abuse (legitimate interests).
- To meet legal, accounting and tax obligations (legal obligation).
We do not sell your personal data or use it for advertising to you.
Who we share it with
Service providers that host and run our systems on our instructions: database and authentication hosting, application hosting, and network/CDN and security services. We may also share data with advisers, auditors and authorities where the law requires it, and with an acquirer if our business is transferred. Some providers process data outside your country, including outside the EEA and Singapore. Where required, we rely on appropriate safeguards such as standard contractual clauses.
How long we keep it
Applications we don't proceed with are kept for up to 12 months. Partner account, performance and payment records are kept for as long as we work together and then for as long as needed for accounting, tax and legal purposes (generally up to 7 years). Security logs are kept for a limited period.
Your rights
Depending on where you are, including under the EU/UK GDPR and Singapore's PDPA, you can ask to access, correct or delete your personal data, restrict or object to its use, receive a copy, and withdraw consent where we rely on it. You can also complain to your data protection authority. To make a request, contact your Excelia Ads account manager, or write to us at the address above.
Cookies
The partner portal uses only strictly necessary cookies to keep you signed in and protect your session. We don't use advertising or analytics cookies in the portal.
Changes
We may update this policy. The current version is always shown here and in the partner portal, and we'll ask you to review material changes.
